Dynamic archives are archives that are used directly in a job in agencies, both government agencies and private agencies within a certain period of time. This study aims to describe and analyze the management of dynamic archives in the general and staffing subdivision of the Development Planning, Research and Development Agency of Gresik Regency using Muhidin and Winata's theory (in Fauziyah, 2019) through 4 (four) stages, namely archive creation, archive use, archive maintenance to archive shrinkage. This study found that the management of dynamic archives in the general and staffing subdivision of the Gresik Regency Regional Development Planning, Research and Development Agency has not run optimally due to the accumulation of archive documents that have not been identified due to the narrowness of the storage location, making some documents have to be stored in the warehouse plus the absence of procedures for using archives and shrinkage which makes it difficult for sub-general staff to manage these archives
The method used in this research is to use descriptive qualitative research methods. The informants in this study consisted of four people, namely the Head of the General and Personnel Subdivision, the archive manager and one or two archive users of the general and personnel subdivision of the Gresik Regency Regional Development Planning, Research and Development Agency. Data collection techniques are carried out through observation, interview and documentation techniques and the techniques used in analyzing data in this study are through data collection techniques, data reduction and conclusion drawing.
The results showed that at the stage of electronic archive creation it has been running well and the format of incoming and outgoing letters is already in the srikandi application, manual creation is also carried out properly starting from recording to disposing of the letter. Also the physical receipt of incoming letters sent by outside Gresik OPD is also stored based on the date of the numbering letter which will be stored in the report book, at the stage of using the archive, it is handled directly by the archive manager to borrow archives used by employees but there are still no good usage procedures such as minutes and forms so that the archive manager, if he needs the archive, only looks at the letter disposition.Gresik At the archive maintenance stage, it has been running through the implementation of maintenance of active and inactive archive documents, but at this maintenance stage it is still not running optimally because many documents have not been identified and the storage space is still messy and narrow and at this stage maintenance is carried out using two manual and electronic methods which are still carried out in stages in electronics using the srikandi application for maintenance while manually sorting, arranging on a document rack that has been prepared based on date, numbering and letter description. At the stage of archive depreciation, activities are carried out, namely archive transfer activities, but only partially but these activities are carried out in stages, which still do not have document destruction by destroying the document as a whole because there is no procedure for depreciating archival documents for managing archives in the general and staffing subdivisions of the Gresik Regency Regional Development Planning, Research and Development Agency.
